Office Phone User Guide

Voicemail:

·      To check voicemail on your own phone, press the Envelope button on your phone

·      To check voicemail for any extension from any phone, dial 5000 and enter the extension number when prompted

·      When prompted, enter your voicemail pin and then press #

Transferring Calls:

·       Attended Transfer: allows you to speak to the transfer recipient prior to completing the transfer while the caller is on hold.

·      Press the Transfer key on your phone.

·      Dial the recipient's extension and press #

·      Speak to the recipient, then either press Transfer again to complete or cancel if the recipient cannot take the call.

·       Blind Transfer: a blind transfer goes straight to the recipient. (You may also use this method to transfer to a 10 digit external phone number)

·      Press Transfer

·      Dial the extension (or phone number) of the recipient

·      Press Transfer

Park and Hold:

On your phone system, Hold is a local function. This means a call held on your phone cannot be picked up at another station. Park is a system-wide function. This means a call parked at one phone may be picked up by any phone.

·      To Park a call, press the Park button (Buttons to the left of screen) only one call at a time may be placed on each Park.

·      If a call is parked, the light next to the button will be red, if it is open, it will be green.

·      To retrieve a parked call, press the Park button the call was placed on.

Forwarding Calls To Another Phone or Office

The phones can be set to forward all incoming calls to any other phone number. This is useful for when you will be sitting at another office and need will need calls forwarded for the next day.

·      On the phone screen, press the “more” button

·      Then press the “forward” button

·      Press 1 for “always”

·      Enter the 10 digit phone number for the phone you would like to forward calls to and click “enable”

To turn off forwarding follow the above steps but click the disable button at the last step.

IMPORTANT: You must be physically at the phone itself to enable or disable phone forwarding. It is important that if you are forwarding calls to another office that you remember to enable/disable before leaving the office for the day.

 

Programming the “Quick Keys”

There are 6 buttons to the left or right side of the phone screen. To program a quick dial, simply hold down the button for 2 seconds and enter the contact info for the person you would like to have in “Quick Dial.”
